Arts Admin Assistant (paid internship)

Job Description

25 hours per week, 40 weeks per annum

Bromley Youth Music Trust (BYMT) is one of the leading youth music services in the United Kingdom, reaching over fifteen thousand children and young people in the London Borough of Bromley and beyond.   As lead partner of Bromley Music Education Hub the Trust provides an exceptional music education experience of the highest quality in a widening range of genres and is open to all children regardless of socio economic background.  The Trust is in the process of adopting a business model that will have a very strong focus on developing its sold services, maximising potential revenue from Gift Aid and increasing its customer base.

This exciting new role offers an opportunity to develop your administrative skills and gain experience in working in an Arts environment.  

 

The Admin Assistant will work in the BYMT office and report to the Head of Administration.

It is essential that the Admin Assistant is a team player able to initiate projects and ideas, as well as take direction.  

The hours of work will be between 12:30 - 5:30 pm., Monday to Friday during term time.

However, all staff are encouraged to take part in / support musical activities as appropriate to their level of experience and you may be required to work outside the usual workweek during events, special campaigns, etc. for which time off may be given in lieu.   

Salary:

£18051 - £18357 pro rata Actual salary: £10,913 - £11,098


Responsibilities:

BYMT Relations
  1. Cultivate relationships with BYMT customers.  This includes being first point of contact including face-to-face, telephone, written and electronic communication.
  2. To manage queries with professionalism, ensuring that any messages are immediately dealt with or forwarded to the appropriate member of staff.
  3. Update and maintain the Trust’s web and social networking presence (including Facebook, Twitter and Linked in groups/pages).  
  4. Work with Admin Team to maximise publicity for all BYMT events.

 

Administrative Duties
  1. Ensure that all photocopying requests are dealt with accurately and efficiently.
  2. Maintain customer security in line with BYMT Data Protection Policy.
  3. Ensure adequate stocks for vending machines and stationery are maintained as well as assisting with requests for supplies required through the Purchase Orders Scheme.
  4. Ensure all out-going mail is dealt with efficiently.
  5. To sell tickets through our online server Ticketsource.

  

Other
  1. Attend BYMT staff meetings as and when required.
  2. Undergo training as required and in line with the Trust’s objectives.
  3. Carry out any other duties within the scope, spirit and purpose of the job, the title of the post and its grading as requested by the Principal or the Head of Administration.

Required Qualifications:

Qualifications 

  • Educated to minimum A level standard with good numeracy and literacy skills. 
Experience 
  • This is an opportunity for the right candidate to increase their knowledge of office systems and gain experience in working in an Arts environment.
Skills 
  • Outstanding communication skills, both personal and written.
  • Ability to work independently. 
  • Accuracy and strong attention to detail. 
  • IT & Social Media literacy – particularly in MS Office and Facebook/Twitter.
Knowledge 
  • Knowledge of instrumental/vocal  music would be advantageous but not essential.
